How flexible are these packages? Can I switch between them if my needs change?

Yes, we will keep an eye on your business volume and accounting complexity during the year. If a change needs to be made or you desire to move up a level, we can support you in this transition.

Are there any discounts for annual payment or long-term contracts?

Currently, we offer only month-to-month payment options. However, if you're interested in a different payment arrangement, we're open to considering a discounted option.



Is there a contract or can I cancel at any time?

We use a standard agreement at the start of our partnership, but services can be canceled at any time with 30 days' notice.



What payment methods do you accept for these packages?

At this time we only accept ACH payments through our payment platform.

Do you offer additional add-on services?

Yes, we offer a variety of add-on services such as accounts payable (tracking and paying vendor bills), accounts receivable (client invoicing and collections management), budgeting, cash flow forecasting, payroll, workers' comp audits, general liability audits, hiring document assistance, employee handbook creation and maintenance, data cleanup, and more. Please reach out to us to discuss your specific needs.

Do you offer tax preparation?

No, we don't offer tax preparation directly. However, we can provide referrals to our network of exceptional CPAs.



What will a financial recap video call entail?

Financial recap calls are conducted via Zoom or Google Meet, based on your preference, and occur either monthly or quarterly depending on your selected package. These calls cover financial results and any other topics you wish to discuss.

Examples include hiring plans, new product launches, technical issues, system implementation planning, HR matters, budgeting, and cash flow.



What does a financial recap email contain?

Each month, you'll receive a comprehensive management report package from Tyto Alba. This package includes essential financial statements such as the Profit & Loss Statement, Balance Sheet, and Statement of Cash Flows. Optionally, we can also include a list of your Top 10 vendors and customers. But we don't stop there—Tyto Alba is committed to customizing your reporting experience. If you have specific metrics or reports you're already using or wish to implement, we'll work closely with you to include those as well.



Can you explain what the receipt tracking app does?

Dext is a cloud-based application designed to simplify your business paperwork. It enables you to capture and store receipts and other essential documents securely in the cloud. For accountants, Dext offers seamless integration with QuickBooks Online (QBO), allowing you to link receipt images directly to transactions.

Each team member receives unique login credentials and a designated email address for forwarding electronic receipts. Plus, the mobile app makes it easy to submit receipt images on the go.



What apps can I integrate?

This will be dependent on your industry and if the app you are using has a built-in integration for Quick Books Online. Apps that we see most often are: Shopify, Square, Amazon Business, BuilderTrend, A2X and more. Reach out to us to discuss your specific integration need.



What is included in on-demand advisory & support?

Our advisory services are meant to support your day-to-day specific needs related to your accounting, bookkeeping, payroll and employee issues. This could be a quick question or call to discuss and issue or a simple report or data set for a project you are working on.

Things that are not included are extensive financial modeling, corporate annual budgeting, cash flow forecasting and other large projects. We can assist with all of these projects, but they fall outside of our normal monthly service packages and are instead quoted as an add on project.

Billing & refunds



Can I set up auto payments or will I need to manually pay each billing cycle?

All our services are set up for auto-payment from your bank account. Regular monthly services are billed at the beginning of each month, while hourly project-based work is billed mid-month.



Are there any setup or cancellation fees?

There's a one-time $250 new client fee charged at the start of each engagement.



What is your refund policy if I'm not satisfied with the service?

If you're dissatisfied with our services at any point, we welcome feedback and open dialogue to resolve the issue. If we can't rectify the situation and you remain unhappy, we'll strive to find a fair financial solution.



How does the billing cycle work?

We usually onboard new clients at the beginning of a month and bill on a monthly basis thereafter.



How is the custom price determined in the strategic package?

We tailor pricing to your specific needs and the accounting complexity of your business. While many variables can influence the final cost, we strive to be transparent about the details and offer a fair price for our services.

Data security



How long do you retain customer data and what happens to it when I end my subscription?

Your financial data is stored in QuickBooks Online for as long as your account remains active. If you discontinue services and cancel your QBO subscription, they will retain your data for one year before deleting it. Any files and data we store in Liscio and Dropbox will be provided to you upon termination and subsequently deleted from our systems.



Is your company compliant with data privacy regulations such as GDPR, CCPA, or HIPAA?

We're committed to data privacy and take regulatory compliance seriously. While we are not a healthcare provider, we do work with medical offices and have signed documents to ensure we meet their specific compliance requirements. However, it's important to note that our primary focus is on accounting and bookkeeping services, not on maintaining medical records or other healthcare-related data. If you have specific concerns about GDPR, CCPA, or HIPAA compliance, we recommend consulting with a legal expert to assess how these regulations may apply to your situation.



What measures do you have in place to protect against data breaches?

To protect against data breaches, we employ robust encryption protocols and two-factor authentication. Our team and clients' sensitive information, such as passwords for banking and other sites, are securely stored in a password vault application. In addition, our team undergoes regular training on best practices for data security to ensure the utmost protection of your financial information.

Where is my financial data stored and how is it protected?

We use multiple applications to keep your data secure, including Liscio, Dropbox, and QuickBooks Online. Passwords for banking and other sites, both for our team and clients, are stored in a password vault application.

Do you provide training on how to use the receipt tracking app or any other tools included in each of the packages?

Yes, we offer two training options. We can either train your main company contact, who will then train each cardholder, or we can assist with both administrator and end-user training.



Is there an onboarding process when I subscribe to a package?

Yes, after signing your agreement, you'll receive an email outlining our apps. If needed, we'll follow up with training to get you up to speed on Dext or other apps included in your package.



How are financial statements and other reports delivered to me? Do you have an online portal?

Tyto Alba offers a client portal where we post transaction questions, request documents, and upload your monthly management reports.



What is the turnaround time for monthly financial statements?

Our aim is to deliver financial statements by the 15th of each month for the previous month's financial results. Meeting this deadline depends on your team supplying bank and credit card statements, as well as promptly responding to any transaction-related questions we have throughout the month.



How quickly can your team start working on my account once I subscribe?

We usually begin services within one business week from the start of your agreement.



Do you provide a dedicated account manager or is support provided by a team?

Yes, although you may work with different team members for various aspects of your business, you'll be assigned a primary contact at the start of your engagement.



What is the typical response time for support inquiries?

We aim to respond the same day, but it may take up to 24 hours in some cases. For quicker responses, we encourage clients to contact us by phone.



What are the hours of your customer support? Are they available 24/7?

Our staff is available Monday through Friday, 9am to 5pm PST.
